Forbeats are a Professional Service that had previously been using Act! They found it limiting and difficult to work with, as well as having continuous integration issues with Outlook.

Dynamics 365 Sales Professional was rapidly deployed to streamline and enable real-time communication for their remote working staff.

Previously Forbeats used Act! to record and manage their clients and suppliers’ opportunities and orders, but found the platform cumbersome, limiting, and difficult to work with, as well as having continuous integration issues with Outlook. With the business expanding and with Covid-19 making it necessary for staff to be spread out over the UK, it was important to establish a platform that would operate as a single go-to place, for all data and communication. With Dynamics 365 Sales Professional cloud-based CRM all remote working staff would gain insights into data updating in real-time, as well as address enquiries directly.

PROJECT REQUIREMENTS 

Forbeats required a rapidly deployed, cloud-based system that was quick and easy to get to grips with – we recommended Dynamics 365 Sales Professional

It had to be cost-effective and configurable enough to be able to cater to their custom requirements. The platform had to work on Macintosh computers with tight integration with Outlook, as well as driving users through a process to ensure rapid and efficient responses.  

They were looking for a solution that would speed up processes, make generating quotes simple and keep opportunities visible. Previously Forbeats did not have a simple way of checking back in with an Opportunity, as they would have to check emails, and CRM separately for details. 

What immediate benefit have you seen using D365?

Having previously worked with disparate systems, Forbeats are now streamlined and enjoying the 'ease of use' that integration brings.

Being a sub-contractor with an extensive product offering, they needed their pricing structure assessable and updatable, so quotes could be generated immediately after client contact.  

With the capabilities Dynamics 365 Sales Professional offered however, they are now able to see all interactions with a client, at a glance, on one dashboard using Power BI.

What benefits have you seen from Inturi Technology Solutions Managed Service?

From the beginning the team at Inturi were brilliant, they migrated our data. We simply sent over an excel sheet, which we cleaned up a bit, and it was uploaded on to Dynamics 365 Sales Professional in no time – in both accounts and products. 

Since going live, the small amendments that we have needed have been dealt with immediately. For example, we have had bespoke account titles added in Relationship Types so we can now filter more easily. 

Although we had Microsoft 365 and Outlook, new software is still alien so there is a learning curve. Our walk-through by Lauryn gave us the confidence to immediately get started using the system and she has given us a follow-up call recently to check everything is going okay. We also know we can be in touch if we need anything. 

Why did you choose Inturi?

As we were using Microsoft 365 and Outlook we reached out to Microsoft and asked if there was anyone they would recommend. We have not met the team live, due in part to Covid-19, but there was no real necessity as we received multiple video calls which were informative and assured us of the capabilities of the platform.

Results

Forbeats chose a rapid deployment option. The entire project was successfully implemented and deployed within two days, which included training their staff! 

Working closely with the Forbeats team we were able to implement Dynamics 365 Sales Professional to meet all their needs within a single system.  

This included the setup of:  

Product price list. 

Additional configuration to their opportunities quotes, and orders entities, so they became bespoke. 

A personalised quote and order template which produces a pdf and attaches to it to a ready to send email. 

Dashboards and reports for pipeline management. 

Sales and admin training. 

We also migrated data from the existing system – which included accounts, contacts, opportunities and products. 

 

The outcome for Forbeats was a rapidly deployed, fully responsive platform, from which they could achieve all tasks from any media device – phone, tablet or laptop. Dynamics 365 has enabled this business to truly work remotely with employees based in Wales and Northwest. 

Training 

Users were brought up to speed remotely, with a walkthrough, which trained them in the following aspects: 

Adding, editing, and finding Accounts, Contacts, Opportunities. 

Maintaining Price lists and Products. 

Generating Opportunities/Quotes and sending Quotes to clients. 

Opportunity management / Closing Opportunities. 

Creating Dashboards by drag and drop, so there is a good level of adaptability and scalability. 

Creating charts.
